Common questions
How quickly will I be notified when mail arrives?
As soon as your mail is processed at our Zug office — typically within 2 to 4 business hours of receipt, Monday to Friday from 09:00 to 17:00 CET. You receive an email notification with the sender name and envelope scan. Official correspondence from Swiss authorities (Canton Zug, SECO, AFC) is flagged as priority and processed the same morning. Mail received after 14:00 is notified by end of day.
Can I receive parcels and registered mail?
Yes. We accept all types of mail including standard letters, registered mail (recommandé), certified mail, parcels, and courier deliveries from DHL, FedEx, UPS and Swiss Post. A signature is provided on your behalf at the time of delivery. For registered mail requiring personal identification, we will contact you with instructions. Large pallets or bulk freight are not accepted.
What happens to mail before I give instructions?
All incoming mail is logged, photographed and stored securely in your dedicated physical mailbox at our Zug premises. Mail is kept for up to 90 days at no extra charge. After 90 days, unclaimed standard mail is securely destroyed. Registered mail, legal notices and official documents are always flagged and kept until you provide explicit instructions — we never discard them automatically.
Can I set up automatic forwarding rules?
Yes. During onboarding you can configure standing instructions tailored to your needs — for example: "scan all mail immediately", "forward Swiss Post letters to my home address", or "hold all mail until I request forwarding at month end." Rules can be updated at any time from your VOZ dashboard. You can also define different rules by sender type (government, bank, suppliers, personal).
Do you open mail without my permission?
Never. We do not open any envelope without your explicit authorisation. By default, we photograph the exterior of the envelope (front and back) and notify you. Interior scanning — where we open the envelope and scan the full contents — is an add-on service that requires your prior approval, either as a standing instruction or on a per-item basis. All scanned content is handled confidentially and deleted from our systems after transmission to you.
Is scanning compliant with Swiss privacy law?
Yes. Our entire mail handling and scanning process is designed in compliance with the Swiss Federal Act on Data Protection (nDSG, revised 2023). All document scans are transmitted via TLS-encrypted connection. Files are stored in Switzerland on secure servers and are not shared with any third party. We maintain a full chain-of-custody log for every piece of mail received, so you always know exactly what happened and when.
What is the difference between scanning and forwarding?
Scanning means we open and photograph the contents of your mail and send you the digital copy by email — you receive the document immediately, wherever you are. Physical forwarding means we repackage your mail and ship it to any address worldwide via Swiss Post or DHL Express. You can choose either option, combine them, or set rules per type of mail. Scanning is generally faster and cheaper; forwarding is useful when you need the original document.
Can I use this address to open a Swiss bank account?
Yes. A registered domiciliation address from Virtual Office Zug is accepted by UBS, PostFinance, Valiant and most Swiss banks as a valid company address for account opening purposes. We provide a domiciliation certificate on request, which is typically required as part of the bank’s due diligence process. The address also appears in the Swiss Commercial Register (Handelsregister), confirming its legal validity.
